Privacy Policy

Updated October 23, 2026

Train Scout Pro helps U.S. residents and property owners request local repair help across the United States. This policy explains what information we collect, how we use it, and the choices available to you.

Information we collect

Project and rental maintenance requests may include a name, email address, phone number, town or ZIP code, property address, project type, preferred timing, issue description, whether a renter has notified their owner or manager, and any owner or manager business contact the renter provides. Contractor applications may include a name, company, email address, phone number, trade, and service area. Optional contractor resource check-ins include a name, business, email, trade, service area, milestone, and goal. Estimate and invoice entries are handled in your browser and are not submitted to Train Scout Pro by that tool. Job descriptions sent to the research assistant are processed to make a draft; please do not include customer personal information. We keep a daily, pseudonymous usage count to limit research requests. We may also collect basic website and campaign activity, such as the page visited or the advertising source that brought someone to the site.

Optional project photos

Contractors may take or choose project photos for the estimating conversation or contractor chat. Selected images are resized in the browser and sent to OpenAI for analysis when you send the message. These tools do not save the photos to TrainScoutPro storage or send them to customers. Written chat responses may be saved privately. Photos disappear from this session when you leave or refresh. Separate saved job-photo reports are a different tool. Avoid including people, addresses, documents, or other personal details; provider processing and retention policies also apply.

Optional voice input

When you tap Talk and allow microphone access, each spoken question is sent to OpenAI for transcription after you pause. The assistant answers aloud and listens again; you can end the conversation with the button or say “stop listening.” Standalone form dictation shows the words for review before submission. TrainScoutPro does not save the microphone recording. Transcribed chat messages are saved privately like typed messages. We keep pseudonymous usage counts to limit voice requests. Provider processing and retention policies also apply. Do not record customer personal information, passwords, or payment details.

Spoken answers

When spoken answers are enabled, the answer text and greeting are sent to Runway to generate the Benjamin AI voice. This is synthetic speech, not a live person. Runway and its speech model providers process that text under their policies. TrainScoutPro does not permanently store the generated audio; a short-lived cache in your open browser tab supports replay. We keep pseudonymous usage counts to enforce voice allowances. If audio cannot play, the written answer remains available.

How we use information

We use submitted information to review requests, match projects with suitable contractors, communicate about the requested service, privately review voluntary contractor progress updates, operate the contractor network, prevent misuse, and improve Train Scout Pro.

When information is shared

Requester contact information is not displayed publicly. Before sharing your contact details with a specific contractor, we ask for your permission for that introduction. Approval does not book work or agree to a price. For rental maintenance requests, relevant request details may also be discussed with the property owner or manager to determine the appropriate next step. We may also use service providers that help us operate the website, communications, analytics, or security. We do not sell personal information as a standalone product.

Free home-tip emails

If you join the free home-tip list, we store your email, signup time, and consent version (and your first name if previously provided) to send the launch update and daily tips when available. This does not enroll you in a paid plan. You can ask to leave the list at any time by emailing leads@trainscoutpro.com. Daily emails will include an unsubscribe link when delivery launches.

Your choices

You may ask us to correct or delete information you submitted, or ask us to stop marketing communications. Contact us at leads@trainscoutpro.com.

Private request access codes

New project requests receive a random access code that works for 90 days. We store a hash of the code, not the code itself. The browser may remember it for the current session. Anyone who has the code can view the limited request status and approve, decline or withdraw permission for a proposed introduction. Keep it private. Status pages do not show requester contact details or internal owner notes. The code is not automatically emailed, and possession of it does not verify email ownership. Contact us if it is lost or disclosed; we must confirm your identity before discussing private request details. Withdrawing permission cannot recall information already shared.

Security and retention

We use reasonable safeguards and restrict access to lead information. We keep information only as long as reasonably needed to operate the service, meet legal obligations, resolve disputes, and prevent abuse.

Changes

We may update this policy as Train Scout Pro develops. The effective date above will show the latest revision.
